Privacy Policy
1. Who we are
Latchpin Tax, LLC ("Latchpin," "we," "us") provides document-preparation and public-records research services for residential property tax protests in Galveston County, Texas. This policy describes what information we collect when you use our website or purchase a protest packet, how we use it, and the choices you have.
2. Information we collect
Information you provide. When you complete the intake form we collect your name, email address, optional phone number, the property street address, and the Galveston CAD account number (R-number) for the property being protested.
Public records we retrieve. To build your packet we query publicly available parcel records — appraised values, property characteristics, and comparable-property data — from the Galveston Central Appraisal District and related public data services. This information is public before we touch it; we do not obtain any non-public information about you or your property.
Information collected automatically. Our website collects standard technical information (IP address, browser type, pages visited) through server logs. We do not use advertising trackers or sell analytics data.
3. Payment information
Payments are processed by Stripe, Inc. Your card number is transmitted directly to Stripe and never touches our servers. We receive only a payment confirmation, the last four digits of the card, and the billing name. Stripe's handling of your data is governed by its own privacy policy.
4. How we use your information
- To generate and deliver your protest packet — this is the core purpose of every field we collect.
- To send transactional email about your order (confirmation, delivery, refund notices).
- To respond when you contact us with a question.
- To comply with legal obligations, including tax and accounting records.
5. How long we keep it
We retain your intake information and generated packet for 18 months from the date of delivery, so we can re-export your documents if you lose them or need them for a late-protest or correction proceeding. After 18 months, both are deleted. Payment and accounting records are retained as required by law.
6. When we share information
We share personal information only with service providers who help us operate — payment processing (Stripe), email delivery, and cloud hosting — each bound to use it solely to provide services to us. We may also disclose information if required by law, subpoena, or court order, or to protect our legal rights. We do not share your information with taxing units, the appraisal district, or the Appraisal Review Board; filing your protest is your act, not ours.
7. Your choices and rights
- Access and deletion. You may request a copy of the information we hold about you, or ask us to delete it, at any time. Deletion requests are honored within 30 days, except records we must keep by law.
- Correction. If your intake information was wrong, contact us — see the Refund Policy for how corrections to a delivered packet work.
- Cookies. The site uses only functional cookies necessary for checkout. There is nothing to opt out of.
8. Security
We use industry-standard safeguards — encryption in transit (TLS), encrypted storage, and access controls limited to personnel who need the data to deliver your packet. No system is perfectly secure; if a breach affects your personal information, we will notify you as required by Texas Business & Commerce Code §521.053.
9. Children
Our services are for property owners and are not directed to anyone under 18. We do not knowingly collect information from children.
10. Changes to this policy
If we change this policy, we will post the revised version here with a new effective date. Material changes affecting information we already hold will be communicated by email to affected customers.
