Latchpin ("we," "us," "our") provides automated and AI-assisted lead response services to independent insurance agencies. This Privacy Policy explains how we collect, use, share, and protect personal information.

From Clients (insurance agencies who pay us)
- Business contact information (name, email, phone, mailing address)
- Billing details processed through Stripe (we do not store card numbers ourselves)
- Brand voice samples and intake question logic provided during onboarding
- Service-usage data (lead volumes, response times, dashboard activity)
From Prospects (people who fill out a Client's form or contact a Client)
- Information voluntarily provided in the inquiry: name, contact details, business name, lines of insurance interest, and any details the prospect chose to include
- Technical metadata necessary for routing (timestamp, source channel)
We do not collect prospects' financial information, government identifiers, or sensitive personal data.
3. How We Use Information
- To provide the Latchpin service: qualify, draft, and route inbound leads on behalf of Client agencies.
- To improve and operate the service: dashboard analytics, troubleshooting, voice tuning.
- To bill, communicate with, and support Clients.
- To comply with legal obligations.
4. How We Share Information
We share information only with:
- The Client agency for whom a prospect's inquiry was submitted.
- Service providers we use to operate the platform (e.g., Stripe for billing, Make.com for automation, OpenAI for language processing, Twilio for messaging where applicable). Each is contractually bound to protect the data they process for us.
- Legal authorities when required by law.
We do not sell personal information. We do not share data with advertisers. We do not use prospect data to train third-party AI models.
5. Data Retention
We retain Client business records and lead history for the duration of the service relationship plus a reasonable period afterward for legal and operational reasons. Clients can request earlier deletion of specific records at any time.
6. Your Rights
Depending on your jurisdiction, you may have rights to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Object to or restrict certain processing
- Receive your information in a portable format

The latchpin.net website uses minimal analytics to understand traffic patterns and improve the site. We do not use third-party advertising trackers.

Our services are intended for business use. We do not knowingly collect information from children under 16.

Latchpin is operated from Texas City, Texas, United States. By using the service, you consent to the transfer of your information to and processing in the United States, which may have different data-protection laws than your jurisdiction.
