For HVAC contractors

The first contractor to reply wins the job.

Latchpin replies to every service request in under 60 seconds — fully qualified, in your shop's voice, after-hours, weekends, even when the techs are on jobs. Stop losing tickets to whoever picks up faster.

Built to run alongside Housecall Pro, ServiceTitan, Jobber, and FieldEdge — not replace them.

Most homeowners don't pick the best contractor.
They pick the one who called back first.
The math your shop is fighting
60

service requests reach your shop in an average week between phone, web form, Facebook, and Angi.

$420

average ticket on a residential service call — not counting the install or replacement the call can turn into.

40%

of leads routinely go to whoever rings back first, especially after-hours and weekends.

That's roughly $500,000 in annual service revenue — booked by someone else.

How it works

Three steps. No new software for your dispatcher.

Latchpin sits on top of the tools you already run — your FSM, your inbox, your phone system. Setup takes seven business days, not seven months.

Service request arrives.

A homeowner fills out your website form, sends an email, or leaves a voicemail. Latchpin captures it the moment it lands — 11 PM Sunday, holiday weekend, mid-storm. Always.

We reply in 60 seconds.

An on-brand message goes out in your shop's voice — gathering address, the issue, urgency, system age. No pricing, no booking. Just the qualifying conversation your dispatcher would have if they weren't already on three other calls.

Your dispatcher books the job.

The qualified, contextualized lead is handed to your team with a one-screen summary. They walk into a warm conversation with a homeowner who already feels taken care of, while your competition is still letting it ring.

Pricing

Two tiers. Both flat-rate.

Month-to-month after the first 90 days. No long-term contracts, no per-lead pricing games, no setup fees.

Questions worth asking

What HVAC owners actually want to know.

Will it sound like a robot to my customers?

No. We tune the voice using your past customer emails, your Facebook responses, your dispatcher's intake style, and a short voice-extraction call. In testing, homeowners regularly assume they were texting with an actual person from the shop. We're happy to show you example replies on the discovery call.

What if I run Housecall Pro, ServiceTitan, Jobber, or FieldEdge?

Latchpin runs alongside any FSM. We don't replace it, we don't change how your dispatcher books jobs, and we don't touch your scheduling. Qualified leads get handed back to your team with a one-screen summary — ready to book the way they already do.

Does the AI book appointments for me?

Not in v1, and deliberately so. AI scheduling is where most of these tools break — promising "Tuesday at 10am" without knowing your tech availability, parts on the truck, or whether the customer needs a certified technician. Latchpin's AI replies in your voice, qualifies the lead, and hands it to your dispatcher with the proposed time. Your team books it the way they always do. We add full FSM scheduling in v1.5 once you've seen us earn that trust.

How long does setup actually take?

Seven business days from signed contract to first live reply. Most of that is the voice-matching pass — we read through 60-90 days of your past customer correspondence so the shop's voice is right before we go live. Your team's involvement totals about 90 minutes spread over two short calls.

What's the cancellation policy?

The first 90 days are a single term. After that, month-to-month with 30 days' notice. No multi-year contracts, ever. If we aren't earning you back the subscription cost in recovered tickets, we shouldn't be here.

How do I know it's actually working?

You get a Notion dashboard with every lead, every reply, every qualification outcome, and average response time per week. We review it together monthly and make adjustments where leads are dropping off.

Will my dispatcher feel replaced?

The opposite. Your dispatcher spends time on the calls that actually need human judgment — routing trucks, sorting emergencies, handling escalations. Latchpin handles the part of the funnel that mostly happens after hours, on weekends, or while your dispatcher is on the other line. The leads that used to go cold — that's what we save.

20 minutes. Real numbers.
No deck.

We'll review your current lead flow, show you exactly where revenue is leaking after hours and on weekends, and tell you honestly whether Latchpin is the right fit. If we're not, we'll say so.
